Rentiva is property management software for landlords and their tenants in South Africa. It is available at rentivaproperties.co.za and as an app for Android and iPhone. This policy explains what personal information Rentiva processes, why, and the choices you have. We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA).

Who is responsible

Landlords decide what information about their properties and tenants goes into Rentiva and why. For that information the landlord is the responsible party under POPIA and Rentiva processes it on their behalf. For your own account details (your login, settings and how you use the service) Rentiva is the responsible party. You can reach us, including our Information Officer, at rentivaproperty26@gmail.com.

What we collect

  • Account details: name, email address, phone number (optional) and your password (stored only as a secure hash by our authentication provider).
  • Property and lease information a landlord adds: property names and addresses, tenant names and contact details, rent amounts, deposits, lease dates and notes.
  • Payments: amounts, dates, payment references and the proof-of-payment files (PDFs or photos) that tenants or landlords upload. Rentiva does not take payments and never asks for or stores bank card or banking login details.
  • Electricity records: prepaid meter numbers and purchase totals imported from the landlord's Recharger statements.
  • Maintenance and inspections: descriptions, photos and videos tenants add when reporting a problem or completing an inspection, and the messages exchanged about them.
  • Notifications: in-app notifications, and if you allow them, a push notification token for your browser or phone so we can send alerts.
  • Technical information: basic logs needed to run and secure the service, such as IP address, device and browser type and error reports. We do not use advertising or cross-site tracking cookies, and we do not sell personal information.

How we use it

  • To provide Rentiva: showing rent owed and paid, statements, analytics, maintenance requests, inspections, notices and the tenant portal.
  • To send service messages by email and push notification, such as a new proof of payment, an approved payment, a maintenance update or a notice.
  • To keep accounts secure, prevent misuse and fix problems.
  • To meet legal obligations.

We rely on the performance of our contract with you, the landlord's legitimate interest in managing their property, your consent (for push notifications), and legal obligations.

Who can see it

  • Landlords and their team see their own portfolio only. Team members get the access level the owner gives them (manager or view only).
  • Tenants see only their own lease, payments, maintenance requests, inspections, electricity purchases for their own meter and the notices sent to them. They never see other tenants' information.
  • Service providers that run parts of Rentiva for us, under agreements that protect your information: Supabase (database, file storage and sign-in, hosted in the European Union), Vercel (website hosting), Resend (email delivery), Google Firebase Cloud Messaging (Android notifications) and Apple Push Notification service (iPhone notifications).

Some of these providers store or process information outside South Africa, mainly in the European Union and the United States. We only use providers that protect personal information to a standard comparable to POPIA.

How we protect it

Data is encrypted in transit and at rest. Database access is restricted per portfolio and per tenant by row-level security, uploaded files are private and only shown through short-lived links, and staff access is limited to what is needed to support the service.

How long we keep it

We keep information while your account or the landlord's portfolio is active. When a landlord deletes their portfolio, its information and files are deleted. Backups roll over and are removed within 30 days. A landlord may keep records of past leases and payments for as long as they need them for their own legal, tax or accounting purposes.

Your rights

Under POPIA you may ask to see the personal information held about you, ask for it to be corrected or deleted, and object to how it is processed.

  • You can update your name and password in the app at any time.
  • You can delete your account in the app (Settings, or My account for tenants), or see how to delete your account.
  • Tenants who want information in their landlord's records changed or removed should ask their landlord first, as the landlord controls that information. We will help where we can.
  • You may lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za).

Email rentivaproperty26@gmail.com for any of these requests. We respond within 30 days.

Children

Rentiva is meant for adults who rent or manage property. It is not directed at children under 18.

Changes

If we change this policy we will update the date above, and tell you in the app or by email when the change is significant.
